Exhibit and Display Policy
The Belmont Public Library welcomes the use of its display cases and designated exhibit areas to promote lifelong learning, cultural enrichment, and leisure activities for the community. Our goal is to showcase engaging and diverse displays that reflect the many interests of our patrons.
Priority for displays is given to library activities, followed by exhibitors who live or work in the Town of Belmont.
The Belmont Public Library is pleased to offer this space for creative and informative exhibits. Exhibit and display use is at the discretion of the Library Director. We look forward to showcasing a variety of exhibits that inspire and engage our community!
Guidelines for Exhibitors:
- All displays and exhibits require approval from the Library Director or their designee. Applicants should provide background information when submitting a request. Exhibits by commercial entities may be considered with prior approval.
- Exhibits and displays should be informational and/or cultural in nature. Displays in the Jane Gray Dustan Children’s Room should be appropriate and of interest to children. The Library aims to present a broad spectrum of ideas and viewpoints, and while materials on display do not necessarily reflect the opinions of the Library Trustees, administration, or staff, we encourage thoughtful and engaging presentations. Partisan or sectarian materials are not permitted.
- The Library is unable to provide insurance for exhibits and assumes no responsibility for loss or damage. Exhibitors are encouraged to check their personal insurance policies. A signed release form is required before installation.
- Each exhibit should include a title poster identifying the topic and the sponsoring individual or group. Additional explanatory materials, labels, programs, and handouts must be approved by the Library Director or designee. Any use of special lighting, audio/visual materials, or electronic media must be noted on the application for approval.
- Exhibit space is available as determined by the Library Director or designee. Installation and removal dates will be scheduled in advance in consultation with the Library to ensure a smooth process.
- Exhibitors are responsible for properly setting up their displays using approved methods. Picture molding hooks and wire are required, while thumbtacks, nails, and adhesives are not permitted to preserve library property.
- To help promote exhibits, exhibitors are required to submit any press releases or other announcement for approval at least three weeks before publication. Publicity should reference the Belmont Public Library only in relation to viewing dates, times, and location.
- If an exhibitor wishes to host a reception or related event, they must obtain prior approval from the Library Director or designee.
- Exhibitors (or their designated representatives) must sign the application form and agree to comply with these guidelines. The Library reserves the right to remove any exhibit that disrupts normal library operations or exceeds agreed upon timeframe.
